1. Challenge & Strategic Alignment
The project’s goal was to design and develop a comprehensive workflow application for IFAC (The International Federation of Automatic Control) to modernise their global conference management. The core challenge was to architect a system that could handle a complex, multi-staged user journey spanning from initial registration to detailed post-event reporting within a single, intuitive interface for both international attendees and administrators.
Goals
Business Goals: Replace fragmented processes with a streamlined, digital-led workflow that provides transparency across all levels of the company hierarchy and offers deep post-event insights.
Strategic Kickoff: As the Lead Designer, I spearheaded the creative and strategic direction. I focused on shaping a design strategy that simplified high-density data and complex administrative tasks into a seamless, professional experience.
2. Process, Team, and Design Phase
The project utilised a lean, agile approach to ensure the specialised needs of IFAC were met through tailored components and validated user flows.
Roles and Responsibility
Lead Designer: I was responsible for the end-to-end design of the application, including UX strategy, Information Architecture, and high-fidelity UI execution.
Team Members: The core project team consisted of myself (End-to-End Lead), a UX Designer, a Project Manager, a Frontend Developer, and a Backend Developer.
Technical Collaboration: I worked in close partnership with the development team to ensure bespoke UI components were technically feasibility and optimised for a high-performance build.
Design phase and testing strategy
Information Architecture: I structured the application logic to support a multi-staged journey, ensuring that data transitioned smoothly from registration through to the engagement phase.
Userflows & Wireframing: I meticulously crafted detailed user flows to remove friction for event organisers, allowing them to manage complex global logistics through a clean, guided interface.
Bespoke UI Development: I designed tailored UI components specifically for IFAC’s needs, facilitating workshops to ensure the interface supported the precise administrative requirements of the company's hierarchy.
3. Execution & Goal-Driven Design
The execution delivered a clean, effective user experience that established a professional standard for IFAC’s digital tools.
Foundational Systems
Lead Design Strategy: I defined the initial design direction, facilitating workshops and presenting a design rationale that prioritised clarity and logical progression.
Intuitive UX/UI Design: I crafted an efficient visual language with bespoke components, ensuring that detailed post-event reports, complete with comments and recommendations—were easily digestible at every level.
Accessibility & Feasibility: I designed with a focus on cross-device accessibility, ensuring a consistent and professional experience for a global audience of attendees and administrators.
4. Measurable Impact & Results
The workflow application successfully transformed IFAC's manual processes into a high-efficiency digital ecosystem.
Direct Resulting Impact
Streamlined Global Management: The intuitive multi-staged journey modernised how conferences are managed, significantly reducing the complexity of attendee and admin coordination.
Enhanced Reporting Insights: The robust post-event reporting system provided unprecedented transparency, delivering actionable recommendations accessible across the entire company hierarchy.
Operational Efficiency: By automating and optimising user flows, I helped IFAC move to a more scalable model for their international events, reducing administrative friction and improving user engagement.
Summary
The IFAC project demonstrated that a UX-led approach can turn complex, multi-staged administrative processes into a seamless digital experience. By leading a specialised team through a strategy-focused design process, I delivered a tailored workflow application that provides IFAC with a professional, data-driven foundation for managing global conferences with efficiency and precision.
